How to set up a travel merchant account?
First, you need to find a Merchant Service Provider.
Put together your business profile so you can start applying for a merchant account.
There are questions that you’ll need to answer, that way merchant account providers have an idea of how they should set up your account.
Some of the questions are:
Is your business seasonal?
For Travel Agencies or Tour Operators, it is seasonal, there will be high and low volume. NTC works with seasonal downtime.
How do you intend to accept payments?
Different business models require different methods of accepting payments.
If you’re doing face to face transaction and have a physical location then you need a credit card terminal.

What makes travel merchant high risk?
Travel environments are unique and transactions are usually keyed in. There’s almost always a delayed delivery period, and large ticket transactions.
One card holder may be paying for multiple tickets and they tend to be seasonal; with peak season months generating an unusual spike in their “average” monthly volume and chargebacks, pose a potential threat by travelers who are unable to complete their trip.
These factors can cause for either a reserve or account termination. Therefore travel merchant accounts are considered high risk.
Most merchants do not realize that merchant processors carry a financial risk on merchant accounts, and normally fund merchants prior to receiving payment from the client’s bank. Therefore, a merchant account is an unsecured loan.
The merchant runs a transaction and at the end of the day they settle their batch. The merchant will receive the funds for that batch in their bank account within 2 business days, even though the travel arrangements the client paid for do not take place right away.

What is ARC, IATA, and CLIA? what’s the difference? What it does and what type of agents would benefit most from it.
CLIA Number – is a way for vendors to identify you as a travel agent. It is issued by the Cruise Lines International Association; without the ARC accreditation, CLIA agencies cannot issue airline tickets since CLIA numbers were designed specifically for cruise-focused travel agencies.
You don’t need to get your own CLIA number if you’re working with a host agency. You can always go under their umbrella organization and use their identification number therefore, it won’t incur the costs associated with obtaining your own CLIA number.
If you are not issuing airline tickets, CLIA is a practical option because it is NOT accepted by the airlines, but nearly accepted everywhere.
CLIA vs. ARC/IATA Number – If you’re ticketing air-only reservation, ARC and IATA are must-haves.
ARC (Airlines Reporting Corporation) – gives out these ARC numbers to accredited agencies, which allows travel agencies to issue airline tickets.
The use of an ARC number extends from either a hotel to a cruise ship booking not only air tickets for travel agencies.
For a home-based travel agent or a storefront agency that only books leisure travel (no air), having your own ARC number seems too much.
IATA – International Air Transport Association Network use extensive data resource to connect the suppliers to the U.S. travel distribution network.
IATA ID card holders get promotional benefits. A concessionary incentives from suppliers (participating members) who identify the agent with an IATA/IATAN number as a valid associate; in addition to approving travel agents for the sale of travel tickets.
IATA certifies either a referral agent or an affiliate travel agent to find clients for the hosting travel agency’s business needs as well.

Getting a merchant account is an important step for any business that sells services. Helping merchant to understand the underwriting process and some of the key things that are reviewed, in order to get approved.
Billing policy – Does the business bill in advance or after products or services are rendered? Businesses that bill too far in advance are at greater risk for a chargeback.
Example: A travel agency who sold travel destination packages six months in advance and cancel the trip, you’ll need to reimburse your customers.
Business type – Some business types are riskier. Industries with vague products or services are more highly to be examined in detail than those with concrete offerings.
Chargeback history – A business with a lot of chargebacks tied to their old merchant account will have a hard time with underwriting. A chargeback might be issued by the cardholder when they feel that the merchant does not fulfil the product or service being rendered as agreed.
Owner / signer credit score – Credit score plays a big role during merchant account underwriting. However, some processors will review financial statements instead in the case of poor credit. if the original signer’s credit score is insufficient, businesses with multiple partners can also try the application with a different signer.
Requested volumes – Are weighed against the processing volumes requested on the application. New businesses usually start with smaller volumes to build a trustworthy relationship before increasing their processing volumes.
Years in business – Long terms in business go a long way in merchant account underwriting, it speaks for their legitimacy. They are more prepared to respond to something like a chargeback and often have a more stable cash flow.

Today, the information thieves want most from your customers is not their credit card numbers but their email addresses and account passwords. Criminals used stolen credentials to gain control of consumer accounts and open new accounts using their names to defraud merchants.
Data encryption and payment security are crucial for merchants, but so is helping customers keep their credentials secure. Encouraging customers to keep their information secure is a good thing.
Help customers practice good password habits – set up your system to require good passwords. Have account rules in place that require more secure passwords. ( a minimum number of characters and a mix of character types).
Remind customers what they can expect from your business – like your employee will never ask for customer account passwords or payment account information via email or no one from your company will call to ask for account passwords or credit-card information.
Offer security tips ahead of peak season – by reminding them ahead of time about account safety. Your business may receive a high volume of travel booking which means peak time for fraud attempts that need to be screened for fraud.
Keep your own fraud-prevention program updated – fraud prevention is an ongoing cost of doing business for merchants, but it doesn’t have to be too much expense. Working with your customers to keep their data and yours secure, will strengthen your business with them while protecting your business from fraud.
